How KashFlow will automate dealing with the 4th Jan VAT change

Using KashFlow has always been easy and now they made it even easier. Duane Jackson has explained in their blog how KashFlow will deal with the change of VAT on 4th January. For the convenience we have published the Duane's blog entry here and remember that for any help with KashFlow the support team is avaiable 24/7.

On 4th January 2011 there are some changes to VAT, the big change being the standard rate moving from 17.5% to 20%.

KashFlow customers are used to having the hassle taken out of their accounting jobs, the VAT change is no exception. Thankfully we’ve been here before with the change from 15% to 17.5% at the beginning of this year, so I can pretty much copy and paste from our blog on the subject last year:

Change to Standard Rate of VAT

The standard rate of VAT will change from 17.5% to 20%. If you’re VAT registered then a message should be showing on your Overview page which to take you to a page where you can click a single button and have your account added to the list of accounts that we’ll automatically apply the changes to. If you’re on this list then the following changes will take place automatically for you at midnight on 3rd Jan

- If you don’t currently have 20% in your list of VAT rates then it will be added
- All repeat invoices, purchases or bank transaction templates set to 17.5% will change to 20%
- If your default VAT rate is currently 17.5% it’ll be changed to 20%
- Any Sales Types or Outgoing Types you have set to a default rate of 17.5% will change to 20%
- If you use the PayPal Importer service and have the VAT rate set to 17.5%, this will be changed to 20%

The data you’ve already entered wont be changed.

Changes to percentages on the Flat Rate Scheme

If you’re on the Flat Rate Scheme then the percentage VAT you pay may be changing. You can change this rate in Settings -> VAT Settings.

Where you’ll have fun is if the period you’re producing a VAT return doesn’t start on 1st Jan. In this scenario you’d have to pay the old rate on sales prior to 4th Jan and the new rate on sales on or after 4th Jan
KashFlow makes this very easy. If you tick the box in VAT Settings to say you’re on the FRS then you’ll see the settings to deal with cross-over periods like the above.

Asset Register

Asset Register

Kashflow users now have an Asset Register so you can keep track of all assets (vehicles, computers, etc) that your business purchases. The Asset Register also automatically works out depreciation for you and makes the relevant accounting entries.

Assets can be divided into different categories. These categories are set up in Settings -> Asset Register Categories

You can view the Asset Register and add items to it under the Tools & Reports tab.

This is another useful addition to kashflow - all designed to make our lives a little easier.

Security questions answered on Kashfow

Security 

We know that security is a primary concern for any business when it comes to storing and sending sensitive information on the internet. For that very reason we employ SSL encryption techniques. This is the same method of encryption used by banks for their online banking systems and by ecommerce websites that take credit card information. 
Once you are logged in to your account all data transferred between the server and your computer is encrypted so that it can’t be read by anybody else. 
We also employ additional security methods during the log on process to make sure that any virus or other rogue software on your computer isn’t able to detect your login details. In terms of physical security – the servers that run the KashFlow application are housed in a highly secure facility in the Western area of London and in the North of England. The servers have the protection of security barriers, 24x7x365 monitoring by on-site personnel to include visual verification of all persons entering the building, CCTV video camera surveillance and a security breach alarm provides the control room with information. 
Access to the buildings, data floors and server area is via individually programmed Proximity Access Cards (PAC), usage of the PAC is logged centrally by time and date. The cards cannot be used by anyone else, whenever someone swipes their card tag over the sensors to gain access to the building, their digital photograph will be displayed on our security systems which are continuously monitored by our on-site technicians. The technicians will then verify the information and only when satisfied, allow access. 
To ensure that nobody else using your computer can access your information, please make sure that whenever you are finished using the system you click on the ‘Log Out’ button located at the top right of the screen. For your security we will automatically log you out of the system if there is no activity for 60 minutes.

Do you need your accounts package to track your stock in your small business. But in a very simple way. Kashflow has the perfect system to do this. You need to set the stock up in the package, which is not too difficult. Kashflow has the perfect online accounting system - designed for business owners not accountants.

Automatically decreasing stock levels When you next raise an invoice and add one of your sales types which has Stock control enabled, the stock level for that item will be decreased by whatever quantity you set on the invoice.

Automatically increasing stock levels When you set the level in stock for a sales type you’ll see an option marked “Increment Stock levels on purchase”.  Next to which is a drop down list of all of your outgoing types (Purchases tab – Outgoing Types). 

If you would like stock levels automatically incremented when you buy in the product, you’ll need to have the product set up as an Outgoing Type and select that outgoing type in this drop down list. 

Then, when you record a new receipt under the Purchases tab and select that outgoing type, you’ll be asked to confirm the goods have been received. 

When you click the “Receive Goods” button the stock levels will be increased by the quantity on the receipt

    Iphone app for kashflow

    Introducing QuickSnap – Single-Purpose IPhone App For KashFlow

    When I talked about our iPhone app, the one feature I’d harp on about the most was the ability to take a snapshot of a receipt and get it into KashFlow in a few taps. So I could get out of a taxi or pay a bar bill and immediately have the scanned receipt in KashFlow.

    The problem was that as the app does so much more than this, it was more taps/data entry than is ideal.

    So in talking to the great iPhone developers we work with, we came up with a plan: a single-purpose app optimised specifically for getting receipts into KashFlow.

    The result is QuickSnap, now available in the app store.

    First, the set-up: Create a supplier in your KashFlow account, perhaps called “Unprocessed Receipts”. Then add a new nominal code (or Outgoing Type) , perhaps called “Misc Expenses”

    Then fire up the app and in the settings screen you choose the supplier and code you just created and also enter your name. Your app is now configured for use.

    When you fire up the app you’ll have the option to use an existing photo or shoot a new one.
    You can then(optionally) enter a description for the receipt.
    Tap to send to KashFlow and  a new receipt is created against the selected supplier and code.
    The description you entered is used as the description followed by your name in brackets – so you can have multiple people using the app without back office confusion.
    Your snapshot is attached to the receipt so when you are ready you can sit down and fill in the details.

    Beautiful.

    Note: when you tap to send to KashFlow, you get to chose the size of the image. Some users are reporting problems using the larger options. Let us know if you have this problem so we can get it fixed.

    Note 2: Before you ask, no – no plans to do a version of this or our main app for Android just yet. But we are getting a *lot* of requests, so may well do so at some point.

    I love this post from Kashflows blog. Should I ever need to call customer or technical support - I will have this picture in my mind!!

    The Support Dashboard

    As our customer base as grown substantially this year, and continues to do so every month, so does the demand on our support team.

    I needed a way to be able to closely monitor the current state of support without having to continuously log in to the support system.

    So what we came up with is the Support Dashboard. This is displayed on a big LCD screen perched on top of a filing cabinet that’s visible from everywhere in the office. Visitors to the office always comment on it.

    A green light means all is well.
    An amber light means someone has been waiting for a reply to their support ticket for more than 30 minutes.
    A red light means someone has been waiting more than an hour – if it ever goes red then it’s all hands on deck until it’s green again.

    As you can see in the photo, it’s currently green. But when it goes amber or red it lists the ticket subject line, how long the customer has been waiting and who (if anyone) the ticket is assigned to.
